Position Title Administrative Assistant II
Position Summary:

The Administrative Assistant II reports to the Program Manager and provides administrative support for the Office of Policy, Education & Regulatory Administration (OPERA) and Legal departments.


  • Provides administrative support and assistance to department staff.
  • Answers and responds to phone calls, voicemail and email.
  • Files documents as needed, completes and maintains electronic records.
  • Schedules department meetings and drafts agendas.
  • Writes and distributes departmental communications under the direction of Program Manager, OPERA.
  • Coordinates documentation for approval.
  • Coordinates visitors and/or interviews.
  • Arranges travel for department personnel, and prepares travel reimbursements.
  • Assists Business Counsel with legal documents and submissions with state and federal agencies.
  • Performs other duties as assigned.

8:00 am – 5:00 pm

Physical Requirements:

This position works in an office environment with lab facilities. With or without reasonable accommodation, employees in this position must be able to sit and type at a computer terminal for up to 8 hours per day with appropriate breaks and perform tasks that require fine dexterity and repetitive motions using the arms, hands, wrists and fingers. Further details of the physical requirements of established essential functions for this position will be addressed/discussed during the interview process.

Basic Qualifications:
  • High School diploma or equivalent (GED) required.
  • 2+ years of experience in administrative related position.
  • Previous experience working in a research institute preferred.
  • Proficient with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Strong verbal and written communication skills.
  • Strong organization skills and ability to prioritize and manage multiple tasks.
  • Must possess a cooperative, service-oriented attitude.
  • Able to maintain confidential information.
Preferred Qualifications:
Compensation: $17.69 to $21.65 per hour
