Position Title Project Administrator
Position Summary:

The Project Administrator provides executive level administrative support to the Director and Associate Director(s), as well as general administrative support to all staff in support of the Precision Medicine Initiative (PMI) All of Us Research Program at the Scripps Translational Science Institute (STSI).

General administrative duties: calendaring, scheduling, and making travel arrangements; order lab and office supplies/computers; process reimbursement requests (RFP, RFT, petty cash) for faculty, staff, and vendors; conference room maintenance; meeting set-up; basic AV support; answers phones; sends correspondence.

Responsibilities and Duties

  • Provide a high level of administrative support to the PMI team, as requested.
  • Heavy calendar, phone and travel management support for the PMI team.
  • Schedule and coordinate activities with research partners, such as Sage Bionetworks, Wondros, Walgreens, WebMD, and the National Blood Collaborative.
  • Screen office visitors and phone calls, maintain records on compliance and regulations, procedures, systems, and precedents, receive and route mail for department.
  • Recommend improvements in work flow, procedures, and use of equipment and forms related administrative support functions.
  • Maintain positive relationships with executive team, faculty and administration staff at both STSI locations.
  • Respond to questions and provide information pertaining PMI research project coordination and procedures and services in a clear, concise, and professional manner.
  • Required to provide information to and collect information from TSRI staff in general, department, and senior management for the purpose of work coordination, problem resolution, and information sharing.
  • Perform other duties and projects as assigned.

Physical Requirements:

This position works in a typical office environment. With or without reasonable accommodation, employees in this position must be able to sit and type at a computer terminal for up to 8 hours per day with appropriate breaks and perform tasks that require fine dexterity and repetitive motions using the arms, hands, wrists and fingers. Further details of the physical requirements of established essential functions for this position will be addressed/discussed during the interview process.

Basic Qualifications:
  • Bachelor’s degree, or the equivalent combination of education, training and experience.
  • At least 2 years progressive experience in executive management and/or experience working in a medical research institute and/or clinical research setting.
  • Experience in industry working as a liaison with relevant stakeholders preferably in the biotechnology and/or healthcare industries.
  • Proficient and advanced skills with Microsoft Office (Outlook 365, Word, Excel, and PowerPoint).
  • Excellent written and verbal communication skills.
  • Advances organizational skills with high attention to detail and excellent customer service.
  • Must be self-directed, with the ability work independently and prioritize multiple tasks, work under pressure with shifting priorities and meet deadlines.
  • Proficient skills and ability to work with a diverse work group and individuals at all staff levels; maintain diplomatic and respectful interactions.
  • Must be able to work in a team environment and convey positive work ethic to complete any task as requested.
  • Must maintain confidentiality and use discretion when dealing with sensitive issues and information.

Compensation: $22.08 - $27.60 per hour
